Fast-read signals for fit, pricing, and trust.
Teams that want every call transcribed without anyone taking notes get the most from Otter.ai, provided they work in English, Spanish, French, German, Japanese or Simplified Chinese. The catch is in the billing: the Business trial needs a card and converts at the monthly rate, and subscriptions are non-refundable.
After connecting a calendar, the notetaker joins scheduled meetings and transcribes them; alternatively, record from the desktop app, Chrome extension or phone, or import an audio or video file. Each conversation then has a transcript to review, query with AI Chat and push to a CRM or workspace. Workspaces for teams exist on Pro, Business and Enterprise.
Prices are in US dollars. Business comes with a 7-day free trial that, per the help centre, needs a credit card to start. The pricing page and the help centre's Pro cancellation article mention no Pro trial. Students and teachers with a .edu address get 20% off Pro: $6.67 a month billed $79.99 annually, or $13.59 monthly.
Subscriptions renew automatically, should be cancelled at least 24 hours before the next billing date and are non-refundable; purchases through the App Store or Google Play are handled under Apple's or Google's policies, and PayPal is not accepted. Otter stores data on AWS in the US West region with AES-256 server-side encryption and holds a SOC 2 Type 2 report. It says it de-identifies user data before training its own models and that its third-party AI providers do not train on customer data.

Five independent accounts, writing under four YouTube videos from September 2024 to January 2026 (two of those videos on Otter's own channel), describe transcripts or speaker labels coming out wrong or imperfect. Three of them point to speaker attribution, one adding that correcting it can take as long as writing the notes; three describe the transcription itself as imperfect, one linking that to accents. One of the five still describes Otter as serving its purpose on in-home sales calls. Read together, the comments set an expectation rather than a verdict: budget time to review transcripts and speaker labels before treating them as final.
What you can actually do with this tool.
Connect Google Calendar or Outlook and the notetaker joins scheduled Zoom, Teams and Meet calls automatically. Where a bot is unwelcome, the macOS (12.3 or later) and Windows (10 or later) apps record with no bot in the meeting, and the Chrome extension and the iOS and Android apps record in the browser and on a phone.
Otter AI Chat answers questions about a conversation, with monthly query caps of 20 on Basic, 50 on Pro and 200 on Business and Enterprise. AI Chat can also translate a transcript into other languages on request.
Notes sync to Salesforce and HubSpot (1 user on Pro, 5 on Business, unlimited on Enterprise) and export to Slack, Notion, Google Drive, Dropbox, OneDrive and other tools, with Zapier and an MCP server that lets Claude, ChatGPT and other AI assistants query meeting notes.
Transcription covers English, Spanish, French, German, Japanese and Chinese (Simplified); the help centre says other languages, Portuguese among them, are not supported.

Common questions about this tool, answered.
Some users describe speaker labels and wording that need correcting, in one case around accents, even where the tool otherwise serves its purpose for them. Plan to review speaker names and key passages before sharing notes.
The card entered at sign-up is charged for the workspace's current seats at the Business monthly rate, $30 per user, not the $19.99 annual figure advertised beside the trial. An admin can cancel before it ends from Account Settings > Plan, which avoids any charge.
For short calls, yes: Basic gives 300 minutes a month but stops each conversation at 30 minutes, allows three file imports in total and keeps only the 25 most recent conversations unarchived. Pro raises this to 1,200 minutes a month and 90 minutes per conversation.
