Sales, customer-success and research teams can have every call captured and searchable in Grain while paying only for the people who record. The Free plan caps each meeting at 45 minutes and keeps 30 days of history; Starter is $15 per seat a month billed annually ($19 monthly), and Business, which adds the HubSpot and Salesforce integrations and AI coaching, is $29 ($39 monthly). Grain's own pages disagree on how many people can record on Free and on whether a mid-term downgrade or cancellation earns a credit.
Connect a Google or Microsoft calendar, choose whether meetings are captured by the bot or by desktop capture, and Grain records them. Notes, action items and transcripts land in a shared library and can go on to Slack, HubSpot, Salesforce or Zapier, or to an AI assistant over the API or MCP. Starter lifts Free's meeting-length and history limits and allows 10 uploads a month; Business and Enterprise allow unlimited uploads.
Paid plans bill monthly or annually with no required annual contract; annual billing is charged upfront at the lower per-seat rate, and the frequency can be switched at renewal. Mid-cycle upgrades are charged pro rata at once, and downgrades take effect at the next billing cycle. Whether money already paid comes back as a credit after a mid-term downgrade or cancellation is answered one way by the pricing FAQ and the opposite way by the Terms of Service; both readings are set out in the FAQ.
How many people can record on a Free workspace is also answered differently on the pricing page than in the help centre. The help centre adds that Free excludes uploads, Trackers, AI coaching, CRM integrations, Teams and API access, and that after a downgrade to Free, content owned by anyone other than the remaining free seat is deleted after 30 days.
Grain states that it is SOC 2 Type II certified and GDPR compliant, hosts its software on AWS in the USA, encrypts recordings and transcripts at rest and in transit, and lets Enterprise customers require SSO login. Its pricing page adds that personal information and calls are not for sale.

What you can actually do with this tool.
Grain's bot can join a meeting and record video even when you cannot attend, or the desktop app can transcribe the computer's audio with no bot in the call. Both modes work with every meeting platform Grain supports, and Grain works with Google or Microsoft calendars.
Every plan produces meeting notes, next steps and a recap automatically. Starter adds custom AI prompts and note templates; Business adds AI coaching, custom AI follow-up emails and team interaction insights.
Transcripts carry participant and cross-meeting context and come out as Markdown. Free includes basic MCP access, and Business adds Grain's advanced MCP server, which the help centre says lets ChatGPT or Claude connect directly to workspace data.
Only those who record, upload or import meetings need a paid seat; everyone else joins as a free viewer, and new members default to Free unless assigned a paid seat.

Common questions about this tool, answered.
Yes, with a 14-day free trial. The help centre describes it as a Business trial started by signing up with a business-domain email or by contacting help@grain.com, and the Terms of Service say a trial account needs no credit card unless you continue to a paid subscription. The Free plan itself has no end date; Grain calls it 'Free forever'.
Grain gives two answers. The Free card on the pricing page lists 'Unlimited notetaker seats'; the help centre's Plans article, updated 12 August 2026, says each Free workspace includes one free Notetaker seat, one user who can record meetings. Viewers join free on every plan either way. If several recorders on Free matter to you, confirm the current rule with Grain before building around it.
Grain's documents disagree. The pricing page's FAQ says a workspace downgraded or cancelled during an active billing window gets a pro-rated credit applied to future charges, and promises a full refund through support to anyone not satisfied within the first 30 days, which it calls a 30-day money-back guarantee. The Terms of Service say no refunds or credits are provided when you downgrade, or when you cancel before the end of the subscription term. Neither statement is withdrawn by the other.
